Onboarding Your Employees

Users can be added in multiple ways. You can either send us an email to [email protected] with your company name in the subject line and the CSV file attached. When Onboarding Employees it's important to note the different statuses. We have Pending, Active, and Deactivated users. Pending users are those that do not have all the required fields needed to run Payroll/Timesheet logic. You can create a Pending user with just the Employee ID, First Name and Last Name. This gives you time to build an account for them while also getting the rest of the details. Only Pending users are those that you can delete.

Pending users are those that have the following fields enabled:

Company Employee ID (can be randomly generated, but not duplicated)
First Name
Last Name
Personal Email 
Employment Start Date

Active users are those that have the following fields enabled:

Company Employee ID (can be randomly generated, but not duplicated)
First Name
Last Name
Personal Email 
Work Email (if there is none, you can use [email protected]) 
Street Address, City, Country, Postal Code
Employment Start Date 
National ID Number such as CNIC, SSN etc. 
Work Schedules 
Department 
Job Title
Contract Type
Reports To 
Amount 
Frequency
Default Payment Type

Active users need to have the above fields filled out in order to be eligible for Timesheets/Payroll.

Active users cannot be deleted as they soon become affiliated with historical records. Only administrator users of the account can see Deactivated users. Deactivated users are those that have the Employment End Date that has passed the Current Date. Meaning they are no longer Active members of your organization. When users are Active they appear within your Schedules/Timesheets and Payroll screens. As soon as a user becomes Deactivated, they will no longer appear in these screens, except for historical records.

Email us your Employee List (CSV)

  • We can easily bulk upload your employee list as long as the following fields are accounted for as the Row Header "EmployeeID", "FirstName", and "LastName", we would then match all the other extra fields.

  • What we usually do is take the existing file you use for Payroll, we reformat it and upload it into our system in exchange for a small one-time onboarding fee.

  • Once this upload is complete, your Accounts/Customer Success Manager will reach out to you and let you know so you can go ahead and login and see the details.

  • Depending on the complexity of this file and number of employees, potential errors (such as duplicate entries) this process usually takes 1-4 business days.

Coming soon: Employee Mobile App / Portal

In order to make the onboarding process easier, Paismo is working on rolling out our Employee App. Our Employee App will allow you to invite your Employees to fill out their information themselves. Once a field has been filled, employees will no longer be able to edit them, only Admins and HR Managers will be able to adjust them.
